Microsoft 365 is Microsoft's cloud productivity platform for organizations. Instead of maintaining separate mail servers, file shares, and perpetual Office boxes, most businesses subscribe to a bundle of services that share one identity system and one admin center.

What you are actually buying

Subscriptions are per user (with exceptions such as shared mailboxes and some frontline plans). Microsoft updates the services continuously; your fee covers access and capacity, not a one-time license key per PC.

How it differs from "Office only"

Older "Office 365" branding emphasized apps. Microsoft 365 names the full stack: mail, Teams, security features, and often device management. A user on Business Basic might never install desktop Word but still has Teams and Exchange. Business Standard adds desktop Office for users who need offline editing.

Typical adoption path for SMEs

1. Move email to Exchange Online and point DNS to Microsoft.

2. Turn on MFA and retire weak password habits.

3. Introduce Teams for projects and meetings instead of scattered chat apps.

4. Define where files live (OneDrive vs SharePoint) before sync spreads chaos.

5. Add security and compliance features as you grow or face customer audits.

Who should own the decision

IT or an external partner handles tenant setup, but operations and finance should agree on seat types, shared mailboxes, and archive needs before purchase. Over-licensing Premium seats for kiosk tablets is a common waste; under-licensing compliance features is a common regret.
